Planning checklist
- Confirm the numbers, including students and staff, and gender separation for tents.
- Choose the campsite and confirm the booking and facilities.
- Request a quote for group camping gear hire 3–4 weeks ahead.
- Arrange delivery and setup if the group arrives by bus.
- Send parents a packing list: warm clothes, raincoat, torch, water bottle, toiletries and any medication.
- Plan meals and assign kitchen duties.
- Brief staff on safety, headcounts and emergency contacts.

- Pitch staff tents at the edge of the student area.
- Keep the kitchen and gas well away from sleeping tents.
- Agree on lights-out and a "buddy system" for night toilet trips.
